2. Information We Collect

When customers register or make a booking, we may collect:

• Names, addresses and contact details.

• Emergency contact information.

• Pet details, including health, vaccination and veterinary information.

• Booking history and payment records.

• Relevant consent forms and care instructions.

3. How We Use Your Information

We use customer information to:

• Manage bookings and provide pet care services.

• Contact customers regarding bookings and their pets.

• Maintain accurate customer and pet records.

• Arrange veterinary treatment where necessary.

• Process payments and invoices.

• Respond to enquiries and complaints.

• Meet our legal obligations.

We may contact customers by telephone, email, text message (SMS) or WhatsApp regarding bookings, pet care and other matters relating to our services.

We process personal information where necessary to provide our services, comply with legal obligations or pursue legitimate business interests, where permitted by law.

We do not sell customer information to third parties.

4. How We Store and Retain Information

Customer and pet records are securely maintained using our Petlinx booking management system and associated storage and backup services.

Electronic and paper records are normally retained for up to five years following the customer's last booking or contact, unless a longer period is required for legal, accounting or other legitimate purposes.

Records may be deleted earlier where appropriate, including following notification that a pet has passed away.

Paper records are stored securely and disposed of through a professional confidential shredding service.

5. CCTV Recording

Four Paws Country Pet Hotel operates CCTV for premises security, animal welfare, safety and incident investigation.

Our CCTV system is motion-activated and records both video and audio.

Recordings are normally retained for up to 60 days, unless required for an investigation, complaint or legal proceedings, in which case they may be retained for longer where reasonably necessary.

Access to CCTV recordings is restricted to authorised personnel.

6. Sharing Information

We may share relevant information with veterinary practices, emergency services, animal welfare authorities or other appropriate organisations where necessary and lawful.

We also use trusted service providers for booking management, data storage, communications and other business operations.

Where personal information is processed outside Guernsey, we take appropriate steps to protect it in accordance with applicable data protection legislation.

Where WhatsApp is used, customer contact details and messages may be processed through WhatsApp's messaging service.

We do not sell personal information or routinely share customer details for marketing purposes.

7. Your Data Protection Rights

Under Guernsey data protection legislation, customers have rights concerning their personal information.

These may include the right to:

• Request access to personal information we hold.

• Request correction of inaccurate information.

• Request deletion of information where appropriate.

• Request restrictions on certain uses of their information.

• Object to certain processing activities.

Some information may need to be retained to meet legal, financial or other legitimate obligations.
